Coaching appointments & meeting minutes


  • When do I arrange the first appointment with a new participant?

    If you decide to take on a client, you will receive a message in your partner email inbox as soon as this participating person is created in the system. In the reporting system (CRM) you will see the start date and the contact details (move the cursor over the first name). Please contact the participating person as soon as possible to arrange a first appointment in the week of the start date.

  • What do I need to consider when making an appointment?

    As a freelancer, you can arrange appointments yourself and adapt them to your other commitments.

  • How do I enter an appointment in the calendar?

    Please enter all your planned appointments in the BSG calendar in the reporting system. This has the great advantage that customers receive a reminder of the joint appointment via SMS 24 hours before the appointment.

  • What can I do if I get an error message in the calendar?

    If you receive an error message when entering an appointment in the calendar (the coach or supervisor already has an appointment, the client already has an appointment) and you cannot see this "other" appointment, switch to the monthly view (instead of "weekly" please select "month"). Here you can see appointments created over several days, usually unintentionally. If it is your own appointment, you can now delete it and enter it correctly. If the problem affects a colleague, please contact the person.

  • How do I enter my first appointment in the reporting system?

    When you conduct the very first appointment with the participating person, you enter it under the tab “Initial consultation” with the coaching type “Initial consultation”.

  • Where do I enter additional appointments in the reporting system?

    You then enter all other appointments in the "Meeting Minutes" section. Here you select a concise summary of the appointment as the title of the appointment, appropriate to the respective module, and the type of coaching as job/psych/social/health - depending on your profession and possibly depending on the measure or module.

  • What do I document in the reporting system at an appointment?

    For each appointment, you enter this in the reporting system (CRM) in the presence of the person taking part. You then document the content of the coaching or support together with the client in the last 5 minutes of the appointment. Feel free to use this as a reflection of the coaching or support unit. Then have the person taking part sign the appointment and any automatically generated self-learning phases or transfer tasks. If your co-coach still has unsigned appointments (for example, if he or she cancels at short notice), please have them sign them too.

  • What do I need to consider when signing digitally?

    There are various options available in the comments field of the digital signature.

  • What exactly do I do if I cannot enter an appointment due to a missing signature?

    If you work in a coaching team and have an appointment with your client and the person attending does not show up or cancels at short notice, please document this appointment directly. If this is not possible because a previously entered and not yet signed appointment is shown in the reporting system, please send an email to schnepper.partner@bildung-sg.de. Please include the customer number, the type of coaching and the key appointment details (date, period) so that I can arrange for the appointment to be entered for you. This is essential because appointments in the coaching team cannot be entered retrospectively (after a subsequent appointment has been entered by your co-coach, for example).

  • What is absolutely necessary if there are no appointments in a week?

    If no appointment takes place in a week due to illness or absence (vacation) of the participating person or of you, this must be documented with a short interim note.

  • What should I keep in mind during my final appointment with the participating person?

    If you hold the very last appointment with the participating person, you will carry out the anonymous survey with the client using the feedback link. You will receive a reminder and information from our team assistant in advance. At this very last appointment, you will select “final interview” as the type of coaching.

  • What do I have to do if I cancel an appointment in time?

    If your client cancels an appointment in good time, i.e. more than 24 hours in advance, you will try to find a replacement appointment with the person attending. It is not possible to bill for an appointment cancelled early, as you have the option of rescheduling the appointment.

  • What steps are necessary if an appointment is cancelled at short notice?

    If your client cancels your confirmed appointment at short notice, i.e. less than 24 hours in advance, or does not show up for the appointment, you can charge the full amount for the appointment.

  • When do I fill out the fields in the initial interview section?

    The areas "Resources and Competencies" as well as "Initial Interview" - "Coaching - Type of Coaching" are filled in by both coaches or the supervisor over the course of the entire coaching period or the supervision time.

  • What is the purpose of the health issues section?

    The "health questions" are filled out by the psychosocial coach (who is listed first in the dashboard) or the supervisor in the first 2-3 appointments. Additions can be made here continuously throughout the entire process.

    The work biographical context is filled in by the job coach (this is the second item in the dashboard) or the supervisor in the first 2-3 appointments.

  • How do I describe a problem situation?

    Problems/obstacles and goals are formulated in the first 2-3 appointments by both coaches or the supervisor with the participating person, not only at the end of the coaching or supervision.

  • How do I formulate SMART goals?

    For each obstacle, you then formulate at least one goal with a short title and in the "Implementation" section you specify this goal. You work out these goals with the person taking part.

  • What types of goals are there?

    With regard to types of goals, a distinction is made between change and maintenance goals. A change that the client wants to achieve is a change goal. If the current situation is to be maintained, this is a maintenance goal. Maintenance goals serve to maintain a current state or situation because there is a risk of it getting worse. With maintenance goals, it can make sense to dispense with the time dimension if the finiteness of the state to be maintained, possibly suggested by a date, could stoke fears in the client.

  • What else belongs in the area of implementation?

    After formulating the specific goal, describe the action planning/implementation with the planned concrete measures during the coaching or support - preferably in sub-goals and also with a deadline here. You add this with a paragraph after the SMART goal in the "Action planning" - "Implementation" section.

  • What content do I describe in the type of coaching?

    Please give a summary of the course of the coaching or support here. Were there any difficulties during the course that you could not foresee in the "needs assessment" at the beginning or that had an unplanned impact on the life of the person participating? Are there important points in the context of the person participating that you did not address in the problem situations? Then this is the right place. You can also add information about your collaboration, motivation or how the client attended the appointment.

  • When do I check whether the goal has been achieved?

    Determining whether a goal has been achieved after the end of an approval period is only possible if the goal is formulated in a specific and time-bound manner, which in turn forms the basis for a realistic assessment of needs and formulation of goals for further assistance. A precise frame of reference is created for the selection of suitable measures that meet the client's individual needs. A statement about the degree to which a goal has been achieved is only possible if it can be verified, which opens up new control options both at the individual case level and beyond. This means: A specific and detailed action plan in the "needs assessment" in the "initial interview" area makes it easier for you to "control your goals".

  • What types of coaching do I distinguish in Compass Coaching?

    In the goal control, the two parts of coaching are differentiated into life coaching and job coaching and the appropriate goals are summarized under them.

  • What recommendations can I give following the coaching?

    Within the "Recommendations for action" field in the "Final discussion" area, both coaches or the supervisor formulate recommendations for the further development of the participant at the end of the measure. Ideally, these should have been developed together with the client, but should definitely be discussed with him/her. These could be follow-up measures, recommendations for action for the participant and other connections.     As part of our work with clients, in addition to the very individual goals that are developed and worked on in coaching and support, it is often also about the connection to our social and/or health system. Especially in view of the fact that our joint work with the participants is limited in time, we as coaches or supervisors should always keep in mind to what extent a connection is possible and helpful. For the people we work with, this can be long-term support or the selective expansion of their support network. It ranges from the connection to psychosocial services such as outpatient assisted living, sociotherapy or the social psychiatric service to the various options of counseling centers and self-help groups to offers financed by health insurance or pension insurance (no claim to completeness ;-)).


Special features of the measures


  • How many consulting units are carried out in coaching?

    In Modular Integration Coaching (MIC), each module runs for 4 weeks with 4 consultation units (UEs) per week and 2 teaching units for the self-study phase. This makes a total of 6 UEs in one week and 24 UEs per module (4 weeks), of which 16 UEs are with the coaches / 8 UEs per coach in a coaching team. The duration of the MIC depends on the number of modules selected.

  • How and where can the appointments take place?

    As part of the coaching, the appointments can take place in the certified coaching rooms (Kürten, Lüdenscheid and Engelskirchen), in the home environment of the participating person, as on-site accompaniment to external appointments, as walk-and-talk units and, at the request of the client, also digitally.

  • Which platform do I use to conduct an appointment digitally?

    As part of the compass and modular integration coaching, appointments can be held digitally. This is helpful, for example, if the participants or coaches have infectious diseases that prevent the appointment from being held in person, provided the sick person feels fit enough for a digital appointment. It is also helpful if the clients have motivational difficulties or organizational problems. It is expressly not intended to make our work easier, but to be as flexible as possible for the participants.

  • How does the work in the coaching team work in modular coaching?

    In modular coaching, ten different modules with different thematic focuses can be selected. The previously usual distribution of 50% job coaching no longer exists.

  • How can I follow up on modular coaching units and how do I enter this?

    The modular coaching is certified and designed with two appointments with 2 consulting units (UEs) each. After each appointment with 2 UEs, the system automatically generates a self-learning unit.

  • What needs to be taken into account when documenting the modular coaching appointments?

    In modular coaching, the individual modules, each with 24 consultation units (UEs), are worked through one after the other in a chronologically defined order. If this rigid chronology does not fit the individual dynamic situation of the client, please use a certain thematic flexibility in your appointments. Intelligently adapt the necessary steps to the current module.

  • In what form are the self-learning phases supported by the coach?

    The Geva analysis is now only included in the "Needs Analysis" module in modular coaching. This code is only valid once. Both coaches will be informed that it has been sent.

  • What exactly are the transfer tasks in Compass Coaching?

Deadlines and specifications to be met


  • How many consultation sessions do I conduct as a coach?

    When fulfilling your assignment, it is important and mandatory that you as a coach ensure that you adhere to the consulting units (UEs) to be completed. Our team assistant will send you an updated overview of the units you have completed and any backlogs once a month. If there are any major irregularities (i.e. more than 4 consulting units still to be completed), please get back to me within 48 hours so that we can possibly look for a solution together.

  • When do I contact the case manager?

    Our clients' personal contacts consider it very important and appreciate being informed at certain intervals about how the work with the customer is going and what the current status of development is. Contact should not only be made when something goes wrong, but also (or especially) when there is a need for an exchange or a report on small or large successes. A good relationship with the job center definitely secures further client assignments and ultimately our jobs and further orders.

  • When must the funding body be informed about absences?

    If the person being accompanied fails to show up for two appointments in a row without an excuse, please inform the responsible specialist at the job center or employment agency. This should be recorded in writing in an interim note. This often has no real consequences, as the specialists are aware of a certain lack of punctuality or of the existing blockages, but contact is required by the certification.

  • When must the final report be completed?

    The final report will be sent by the cooperation partner on the last day of the joint work with the participating person. This requires you to prepare the report earlier. In order to enable any necessary editing and to make this process easier for you, we will proceed as follows:

  • When should I submit my invoice?

    Please send your invoice to our team assistant by the 3rd of the following month. It is very important that you only invoice appointments that have been signed and entered in the CRM by the last day of the month. Please therefore try to obtain all signatures by the last day of the month if you have not already done so. Please name the file according to the following specification.     You will receive a wide range of important information via your BSG partner email address. This includes notifications from the system about the allocation of a new client, queries from our team assistants about your invoice, reminders of deadlines and reports, and messages from our team mailing list. Regularly checking your mailbox ensures a reliable flow of information for both sides.

  • What should be considered when extending a coaching session?

    If a new activation and placement voucher leads to follow-up coaching, a few things need to be taken into account.

    If you are employed as a job coach in a coaching session (you are second in the reporting system), you enter the work biography of the participating person in the "Initial interview" section.

  • What do I pay attention to when working as a psychosocial coach?

    As a psychosocial coach, you are at the forefront of reporting and are responsible for entries in the "Initial consultation" - "Health questions" section.

  • How do I fulfill my continuing education requirements as a coach?

    As part of the labor market services, the coaches and supervisors providing the services are required to provide evidence of subject-related training amounting to at least 8 teaching units per calendar year in order to meet the minimum examination requirements.
